Information we process
When you submit the contact form, we process:
- your first name, last name and email address,
- the selected service, if any, and your message,
- the form language, enquiry identifier, receipt time and confirmation that you have read this notice.
To protect the form against abuse, the IP address is used temporarily to create a one-way hourly identifier. We do not store the raw IP address or browser user-agent with the enquiry. The hosting provider may retain limited technical and security logs according to its configuration.
Purposes and legal bases
Handling your enquiry
We use the data to receive your message, respond and prepare a possible engagement. If you request services in your own name, the legal basis is taking steps at your request before entering into a contract under Article 6(1)(b) GDPR. If you act for a company or another person, the basis is our legitimate interest in responding to requested business communication under Article 6(1)(f) GDPR. The checkbox in the form is not GDPR consent; it only confirms that you have read this notice.
Form security
Spam, duplicate and rate-limit protection is based on our legitimate interest in operating a secure and reliable website under Article 6(1)(f) GDPR.
Recipients and processors
The information is accessible only to authorised persons at the controller and technical providers needed to deliver the enquiry:
- Vercel Inc.
- website hosting and server-side request processing
- Supabase, Inc.
- database storage of the contact enquiry
- Plus Five Five, Inc. (Resend)
- delivery of the email notification to the controller
We may disclose information to a public authority only where required by law or an enforceable decision.
Transfers outside the EU/EEA
The listed technical providers or their subprocessors may process information outside the European Economic Area. Depending on the relevant provider terms, such a transfer uses an adequacy decision or Standard Contractual Clauses under Articles 45 and 46 GDPR.
How long we retain information
An enquiry that does not lead to a contract is retained while it is being handled and for no longer than 12 months after receipt. It is then removed from the database and the working email inbox. If an enquiry leads to a contract, information needed for that relationship is processed further in the client records under separate statutory retention periods. The security identifier is used for one hour only, and expired records are removed when a later enquiry is stored.
Is providing the information mandatory?
Providing the information is not a statutory requirement. Your first name, last name, email and message are nevertheless necessary for us to identify, assess and answer the enquiry, so the form cannot be submitted without them. Selecting a service is optional.
Automated decision-making
We do not use the information for automated individual decision-making or profiling. We do not send marketing messages through the contact form.
Your rights
Subject to the conditions in the GDPR, you have the right to:
- access your personal data and receive a copy,
- request correction of inaccurate or incomplete data,
- request erasure or restriction of processing,
- receive data in a portable format where the legal conditions are met,
- object to processing based on legitimate interests.
You can exercise your rights by emailing info@hanesy.eu or calling +421 940 633 378. We may take reasonable steps to verify your identity before responding.
Right to lodge a complaint
If you believe we process your information unlawfully, you may lodge a complaint with the Office for Personal Data Protection of the Slovak Republic, Galvaniho 7/B, 821 04 Bratislava, Slovakia.
